Plugin to export articles to Word (.docx) for client approval

The APC Editorial Documents add-on brings together, in one tab, the Word file of every article the plugin generated, with the whole text and its formatting, plus the LinkedIn summary or post. Download them to review, approve or file, or e-mail them to your client along with the link.

  • The whole article, formatted
  • Opens in Word and Google Docs
  • Goes attached to the e-mail

In short

The Documents add-on lists, by project, the Word file (.docx) of every article APC Editorial generated: the whole article, with subheadings, lists, tables, bold and italics, plus the LinkedIn summary or post. It is the simplest way to send the text to your client for review and approval.

It only covers the articles APC Editorial generated. It is not a tool to export any WordPress post.

Approval

Why clients prefer Word.

Lawyers, doctors and managers usually review text in Word. There they mark corrections and leave comments the way they already know, and the writer gets everything back in one file.

.docx has been Word's default format since Office 2007 and follows an open standard, Office Open XML. That is why the same file opens in Microsoft Word, Google Docs and LibreOffice, with nothing new for the client to install.

With Word's track changes, or suggestions in Google Docs, every change stays marked, and the writer sees exactly what the client asked for. In regulated sectors, such as law and health, the file also serves as a record of the text that was delivered and approved.

APC Editorial builds each file from the article as it stands in WordPress, with the same structure the reader sees on the site. No copying, pasting and fixing the formatting by hand.

File What's inside From which plan When it shows up
WP article (.docx) The title and the whole article: subheadings, paragraphs with bold and italics, lists, quotes and tables. The 1st paragraph is included even when the plan sends it to a custom field. Blog plan As soon as the article exists, drafts included.
LinkedIn summary (.docx) The article title and the text of the LinkedIn summary. Blog plan with a summary When the article has a summary.
LinkedIn post (.docx) The theme title and the text of the post. LinkedIn plan When the post exists.

The file carries the text. The SEO title, meta description and keyword stay in your SEO plugin's fields, in WordPress. Shortcodes, such as forms, are left out of the Word file.

What it does

Every article in Word, one click away.

A tab to find any file in the project, and the same files on every theme card.

Everything in one tab

The Documents tab shows the files of the project picked in the switcher, with the path under Showing:. One click downloads each one.

Filters that find it fast

Filter by Project, Plan type and Editorial plan, or type in Search title: the list filters as you write.

The whole article, formatted

Subheadings, numbered and bulleted lists, quotes, tables, bold and italics become real Word formatting, with nothing to copy and paste.

Always today's text

The file is built at download time, from the article in WordPress. The correction you made on the site is already in the Word file.

LinkedIn in its own file

Each article's summary and the posts from LinkedIn plans come out in Word too, apart from the article, so your client can approve the post before it goes live.

On every theme card

The same files are on the Article (Word) and LinkedIn summary (Word) buttons of every theme card, to download without leaving the plan.

E-mail to the client

The article arrives with Word attached.

Each plan's Email card sets the message that carries the article link and the attached Word files: To, Cc (optional), Subject (the article title is added to the end), Message, the signature and the logo at the end. Send a test email shows how it looks before it counts.

  • On a manual generation: if you tick it in the Generate this article window.
  • On scheduled generations: with Email the reviewer on every scheduled run turned on in the Scheduling card.
  • From the post editor: the APC — Email the project manager box sends it right away with Send email, or by itself when the post is published or updated.

The e-mail goes out through your own site's mail setup, or your SMTP plugin. If sending fails, the article stays the same.

Stored without clutter: when the article is published, the Word file is also kept in the Media Library, attached to the article, and that is the one the e-mail attaches. A new version replaces the old one, so files never pile up.

Step by step

From generated article to Word in 4 steps.

The tab belongs to the project: each client's files stay apart, the way your projects already organize your work.

  1. Turn the add-on on

In Global Settings › Add-ons/Tools, turn on Documents. On a site that was never PRO, it turns on by itself with the first subscription.

  2. Pick the project

Open the Documents tab and pick the project in the switcher at the top or in the Project filter.

  3. Filter and download

Choose the Plan type and Editorial plan, or search by title, and click the file you want to download.

  4. Send it by e-mail

In the plan's Email card, fill in To, Subject and Message and click Send a test email.

Want to see each screen? The step by step in the docs shows the Documents tab and the Email card.

FAQ

Questions about exporting articles to Word.

Can I export any WordPress post to Word?

No. The Documents add-on makes the Word files of the articles APC Editorial created and of the LinkedIn summaries and posts. On a post the plugin didn't generate, the editor's e-mail box says: This post was not generated by APC Editorial.

What goes inside the article's Word file?

The title and the whole article, with subheadings, paragraphs, bold and italics, lists, quotes and tables. The 1st paragraph is included even when the plan sends it to a custom field, and shortcodes are left out.

Does the Word file include the meta description and keyword?

No. The file carries the article's text. The SEO title, meta description and keyword stay in your SEO plugin's fields, in WordPress, where APC Editorial filled them in.

Does the file open in Google Docs?

Yes. It is a standard .docx: it opens in Microsoft Word, Google Docs and LibreOffice, with the article's formatting.

If I correct the article in WordPress, does the Word file change?

Yes. The file is built at download time, from the article as it stands in WordPress. The correction is already in the next Word file you download.

Can I download the draft before publishing?

Yes. The Word file exists as soon as the article is generated, even as a draft, so your client can approve it before the text goes live.

How does my client get the article by e-mail?

Through the plan's Email card: it sends the message with the article link and the Word file attached on a manual generation, on scheduled generations or from the APC — Email the project manager box in the post editor.

What if the e-mail fails?

The article doesn't change. The e-mail goes out through your own site's mail setup, or your SMTP plugin, and a failed send never affects the article. You can send it again from the box in the post editor.
